Overview
The User Filebox is a secure, personalized space where Admins can share files directly with individual users—and vice versa. This feature is ideal for sharing documents like onboarding materials, custom reports, assignments, or support files that are specific to a single user.
Files are only visible to the Admin and the selected user, ensuring confidentiality and easy file management. Whether you're supporting clients, delivering personalized content, or managing sensitive documents, the User Filebox provides a safe and organized way to exchange files one-on-one.
Before You Begin
Make sure the Enable Filebox setting is turned on (Settings > App Settings).
Please note that the file upload size limit is 5MB per file.
Filebox functions for Admins
To upload and manage user files as an Admin, navigate to a user record and click on the Filebox tab as pictured below:
The following Admin functions are available (functions corresponding with numbers on image above):
Search for a file by name, type, or role
Filter by type of file: Shared by Admin or Uploaded by User
Upload new files
Notify a user via email that a new file has been shared
Download the file
Delete the file
Please note: files will appear with file type extensions (.pdf, .png, etc) appended to the file name.
Filebox functions for Users
To upload and manage files as a User, login to the user site, then click on Filebox from the User dropdown options:
The following User functions are available (functions corresponding with numbers on image above):
Search by Category: Shared by Admin or Uploaded by User
Search by Name or Type
Upload new file(s)
Download file
Please note: Admins are automatically notified by email when a new file has been uploaded by a user.
FAQs
Can users see all files?
No—users can only see their own filebox and files they’ve uploaded or that have been shared individually with them by an Admin.
Is there a limit to the number of files?
There is no overall cap, but individual uploads are capped at 5MB each.
